Setting up paid-for passes in Eventree
Although most of your crew and artists won’t need to pay to attend your event, there may be times when it is appropriate to charge for passes.
For example
Artists guests - a reduced rate for friends of an artist
Press donations - where people should make a donation for their pass
Guest list - friends and family who can pay a reduced rate
Setting up Eventree so you can take payments for paid-for passes is super simple.
For any events which set up paid for passes from June 2024 onwards, payments will be taken via a connected Stripe account.
An overview of the process:
Stripe integration is setup in the Eventree event
Paid-for pass types are created
Paid-for passes are distributed to Areas
Passes are allocated to individuals
Payment links are sent
Once paid, barcodes can be sent
Setting up:
1) Step one is to link your Stripe account to Eventree
To do this, go to Event Settings > Payments

2) Create your paid-for passes
You can either link a payment to an existing pass type, or you can create a new pass type and make it a paid-for pass.
Either way the same applies, for existing passes select Edit.
Then select Show more
Then select 'Paid for pass' and enter a price. Then hit Save.
Once set up, your pass will have a money icon next to it as well as the price listed on the same row too.
3) Issue paid-for passes to your crew
Paid-for passes can be distributed to Areas, Subareas and Groups, and then assigned to individuals in the same way as any other pass in Eventree.
When you first assign a paid-for pass to someone it will look like this in list view.
4) Send out paid-for pass links
To send one payment link to an individual, select the dropdown by Edit, and then select Send payment email.
You will be able to tell that the link has been sent as it will now display as Unpaid- sent.
The recipient will receive an email like this. This is the default text, but you can edit this email template in Event settings > Email templates.

To do this in one go, use the bulk email tool to select any individuals with Unpaid passes:
5) Send pass barcodes to people who have paid
If you want to automate the process, so that as soon as someone pays for their pass, they get sent the pass QR codes, you need to change a setting.
Go to Event settings - Core settings and scroll down to find Paid -for Tickets
Make sure you tick the box 'Send paid for tickets immediately after payment is received is received' and then the passes will auto-send upon payment:
Similarly, if you want to control when you send the actual tickets, you can un-tick this box and then send at your leisure!
