So, you've been working on your event for months, all (or at least most) of your crew's details are in the system, your induction is set up, and meals have been assigned.
There are a few things to check to ensure your Eventree event is ready and passes can be scanned and associated on site.
Associated passes - linking Eventree passes with wristbands/vehicle passes
Gate Groups - grouping pass totals together for easy reporting.
Allowed ticket list - deciding which passes can be scanned when, and where
Associated passes & Gate Groups
These can both be quickly set up for multiple passes by going to your menu and selecting Passes > Gate settings
You will see a page of all your passes types, along with easily editable fields for Gate Groups and whether you would like each pass to be associated.
But what do these two settings do?
Associated passes
If you are associating Eventree passes with either wristbands or vehicle passes on site you will need to tick a box on the relevant pass types in Eventree.
(Associating may also be known as linking, or logging serial numbers, etc.)
This will mean that once you scan a pass on site, it will ask you if you'd like to associate it with a wristband or vehicle pass.
You can see in this example below - Production wristband asks for an Associated pass number. That's because that pass type has the 'Associated at gate' box ticked.
Gate Groups
This is a bit of a bonus option, but can be really helpful. If you would like to see totals for scanned in passes whilst you are on-site, which are grouped by categories of your choosing, here is how.
-Similar to above - edit the pass, Show More and then enter whichever Gate Group you would like that pass to be included in.
-This allows for more summarised reporting, eg if you want to simply see how many ‘people’ are on site you could add a People Gate Group, or if you wanted to group together scanned in numbers for Parked vehicles, vs Moving onsite vehicles.
These Gate Groups then show on the Group Live Ticket Count on the entry system like this.
If you don't assign any Gate Groups, then all passes will be listed under 'No group'.
Please note that each pass can only be included in one Gate Group.
3.Allowed Ticket List
-This is used to determine which passes can be scanned on which days, and where.
For example, if you had a Friday Artist pass that cannot be scanned on Saturday or Sunday, we can set that up for you.
-We will send you a template ready to complete
-We will have added all the pass types and gates/dates
-All you need to do is enter W for passes that are just exchanged for a wristband/vehicle pass or A for passes which are associated with a wristband or vehicle pass.
