How should I set up my event?

The first thing to do is decide how you want to split up the work. Think about the people who may look after a whole section; you can set them up as an Area Manager, give them the passes they need and send them a login. 

If you’re going to do most of the work yourself, you can organise the sections in the event as it makes sense to you, so it may still be sensible to have different sections for artists, traders, contractors, security etc. You’ll see this screen below when you first log in, and can click the 'Add area' button to start adding areas.

Your event structure

Area. This is a self contained ‘compartment' or 'folder' within your event. An area might be Bar Staff, Traders, Volunteers etc. If you like, you can assign an Area Manager to an Area. This could be someone in your team who may only look after a specific team or department. So you could create your areas according to how you manage your team on site. An example might be a Volunteer area, with a Volunteer Manager as the Area Manager.

Bear in mind, you can also amend email templates at Area and Sub-area level, this means you can send people within each section different information easily.

When an Area Manager logs in to Eventree they can only see that section and the passes that have been distributed to that section. They cannot see 'sideways' into any other sections.

A Sub-area is very similar, but allows for another layer of hierarchy e.g. at a large event, you might have one person in charge of Artists, but then you may want to have sub-areas of Main stage, Purple stage etc

A Group is the smallest level of hierarchy structure in Eventree. Groups are great for delegating responsibility to people such as contractors or traders. As an event organiser, you often deal with the point of contact eg the owner of a food stand. You can set that person up as a group leader and give them a handful of passes. They can then log in to Eventree and assign those passes to their team.

Individual is the term we use for a single person in the system. They can be added separately at any level within the system.

Passes

As well as setting up your event structure, you will also need to create your Passes - these are equivalent to your physical wristbands, or vehicle passes on site.
