What is an Area?

Your event structure

Area: This is a self- contained ‘compartment' or 'folder' for all the people who are going to be working at your event. The aim is to put different sections of workers in these folders. So, an 'Area' might be called Security, Traders, Artists, Contractors, Medics etc.

Why make Areas?

  • To structure the data in a way that makes sense (e.g. all volunteers together)

  • To restrict access to the data to just the managers who need to see it

  • To give an allocation of passes, meals or budget to an area which the manager cannot exceed

It’s technically possible to have an event with only 1 area, but you don’t get any of those advantages if you do.

How do you make an Area?

Simply click on the add button.

A box will now appear. Now in the name of your new Area, for example, Artists.

If you want to ensure that every individual you put into this Area will have a unique name and email address, tick that box. Otherwise ignore.

If you’ve already set up your Passes, you can now allocate the number of different passes this Area can receive. If you haven’t, don’t worry, you can come back to this later.

Last but not least, you can see that you can enter someone’s email to make them a Manager. All that means, is your appointing someone from your company who will specifically look after this section- we then call them an Area Manager.

This may be handy if this same person will be looking after the people from this section on site. When you log in as an Area Manager, you can only see your section and the passes that you have been given, you cannot see sideways into any other sections.
