Exporting data

As an event manager information is everything. It’s vital you have access to the number of people being scanned in at your event, what company they are from, what passes they’ve used etc. But that’s just scratching the surface. You’ll want to break down data from every part of your event in minutia. This will give you the ability to gain crucial insights into your event, which in turn will allow you to achieve better results and potentially show you how to save money on certain areas such as the number of meals catering has to prepare for your workers. Eventree allows you to do all this. Let’s have a look at how you can export that data.

First let's head to

  • Reports

  • And then click on Export entry data

  • From this page you can download a spreadsheet detailing all of the crew that have been added to eventree and their passes

  • The spreadsheet will display an individual's unique pass barcode,

  • Their first and last name

  • The passes allocated to them

  • If their pass has been redeemed (i.e. scanned on site)

  • What company the individual is from

  • What Area/ Sub-Area/Group they are located

  • Their contact details ie email, telephone number and postcode

  • This will also detail any custom field data

The export entry data report can be accessed either at event level, or within a section if you only wish to extract data from that area. This export is a super helpful tool for exporting your raw data, for you to extract what you need from it, perhaps using a pivot table for example.

Paid for Passes

Another useful export tool is the Paid for Ticket export tool. This allows you to check if there are any outstanding payments for paid-for-passes as well as giving you the total amount how many passes that have been paid.

Export Ticket Distribution.

Staying in Reports our next useful data tool is Export Ticket Distribution.

This function breaks down how many passes were allocated to each group and how many of those were assigned to individuals. The data will show you a list of every pass that was checked in.

Exporting data from Forms

There will be occasions where you want to export data from forms you’ve received.

  • Go to Applications

  • Then click on 'Applications Received',

  • Now select the form submissions you wish to export by clicking on 'Filter By Application type'

  • and then click the button 'Export to Excel'.

  • A window will now appear and you can download all of the information from this form or you can be selective by ticking the boxes for specific fields

  • Once you’ve selected your fields, click Export

  • And voila, you’ve exported a file containing submissions for that particular form

Export specific data

If you wish to really finesse exporting data on a data set, for example, people with a certain pass type, or certain dietary requirements for individuals etc, then head to

  • Search

  • Then click on advanced search

  • Now click on add condition

  • Enter your Requirements eg ticket type is an artist

  • Then click Apply condition

  • Now press select an action

  • And finally click on Export

  • All the data about your chosen subject will now be downloaded onto your computer

Live Google Sheets

As an event manager, you may want your data in realtime. In other words, you don’t want to be downloading excel sheets over and over again. You want to see it live. Eventree can link these reports as well as any form fields to Live Google Sheets. This will allow you to review your data in realtime rather than re-exporting spreadsheets on a regular basis. This also means you and your colleagues can share this sheet and ensure everyone is viewing the same version of data.
