Once everybody has been assigned a meal you’ll want to be able to see that data. Perhaps your Catering company needs to know how many people with dietary requirements there will be on a particular day. Or maybe some Groups/Areas seem to have almost reached their meals quota and you need to check why. You need to know this information. Eventree gives you a few options depending on what you need to know.
Let’s have a look at the options you have available to you.
Print meal passes
The simplest way for crew members to redeem their meals on site is for them to present their crew QR code, the one they used to access the site and claim their wristband. Alternatively, if your event uses wristbands with QR codes on them, they can use that to redeem their meals instead. However, some events like to print meal tickets separately too, so this page is where the meal tickets are printed from.
Alternatively, this page can be helpful to quickly find someone’s meal passcode.
Distribution report
If you click on the Distribution report you can see a general overview of the number of meals that each Area has been allocated, specified and redeemed.
Detailed Distribution report
However, if you require more information on this subject click on Detailed Distribution report. Once again you’ll see the Areas, but now, if you click on the little plus (+) button next to it, that will reveal sections within each Area too. This report now shows you the percentage of meals specified compared to redeemed for each meal type ie Breakfast, Lunch, Dinner. The detailed distribution report also shows costs in relation to this data.
Canteen Report
The canteen report is an essential report to help you plan arrangements with your Catering contractor. It breaks down meal allocations by Canteen and Meal sittings, both by meal type and by date. It then lists how many of each meal sitting has been specified and then redeemed, as well as dietary requirements per day.
For example, it will state that for your Breakfast sitting on Monday, 215meals have been specified and this includes 16 Vegans, 12 gluten free and 10 people with a Nut Allergy. Helpful right?
Canteen Doorlist
The canteen doorlist gives you a daily snapshot of who should be having a meal for a particular sitting. Perhaps for the first few days that your crew catering tent is open, it’s possible the Wifi may drop out. You may want to download your Canteen doorlist to give you a good idea of who will require a meal that day. To use this option:
Click on Canteen Doorlist
Select the Canteen
Select the date of the meal you would like a doorlist for
Select the meal sitting, eg Breakfast
Select which order you would like the list in, for example, alphabetical by name
For a detailed look into Canteen Doorlist see this help article.
Download all existing meals information
There is a super handy export which can be downloaded which gives an overview of every single meal that has been specified to an individual in your event.
To find this, navigate to Meals > Import
Then on the import page, on the right select the "Download Existing Information" button.
This will export a csv of every individual in your event and every meal they have been specified.
