There are many reasons why you might want to give people access to view forms within your event. For example:
You might want your trader manager to just be able to view trader forms and documents
You might need your volunteer manager to view and approve volunteer application forms
You might have an external supplier for electricity or internet access and they need to see the requirements of all the people who've requested these things
You may have a legal requirement to make certain documents or forms available to an insurance company, for example
Luckily you can set this up with just a few clicks. In my example I will be giving the electrical supplier to the event access to view all electricity requests from exhibitors.
1 - Make a new area in your event. The area manager should be the person who is going to log in and view these forms/documents.
2 - At event level go to Applications > Application types. Find the application type you want to give this person access to and click 'Edit' next to it.
3 - Scroll down to "Areas / sub-areas that can view the applications"
Change the setting "Which sections can view submissions of this form?" to "Specific sections"
From the list which appears underneath select the new area you added in step 1:
4 - After you've selected it click on 'Add viewer' to add it to the list of sections which can view forms of this type
5 - Scroll to the bottom and click Save.
6 - In the left menu click on 'Areas' and then click on the new area you just created.
Inside this area you'll see the new area manager - the person who you've given permission to log in - and that they can now click on 'Applications' in the left menu to view the forms.
