How do I customise what data is stored by Eventree?

You can use custom fields in Eventree to change what data is requested when adding individuals or groups to your event.

When you create a new event in Eventree and start adding people to it you'll notice that you can store the following things.

For individuals:

  • Name

  • Email

  • Band/org/team

  • Phone number

  • Address

  • Postcode

Name and email are always required, but other pieces of information may be optional or mandatory depending on how your event has been configured.

For groups the only piece of information you'll be asked for is the name of the group. 

Sometimes this is all you need, but sometimes you'll need to store additional information against either individuals or groups.

You'll be delighted to know that you can specify up to 10 additional data fields for both individuals and groups, and you do so like this. (Note - depending on your level of access to Eventree you might not be able to do this yourself so please speak to your event admin and ask them to do it instead).

  1. Go to Event settings > Custom Data Fields

  2. Click 'Add Custom Data Field'

3. Enter a name for your field, tell Eventree whether it should be applied to individuals or groups, and say whether it is mandatory or not.

4. You can also decide whether the field is shown in List view so you can see it at a glance.

But wait, there's more ....

Obviously it's great being able to add custom fields to your event, but what if you need to store different information to volunteers compared to, say, artists?

In that case simply follow the same process within the area in question. If you want to add a custom field to volunteers then go into your Volunteers area, Settings > Custom Data Fields.

This will create a custom data field but it will only be displayed within the Volunteers area.

If you are an area or sub-area manager for an event you will only be able to create custom data fields within your own area/sub-area and you'll need to ask an Event Admin to create them at event level.
