Reviewing a form on the applications dashboard
At any time, a person who completes a form can revisit their Applications dashboard by visiting applications.eventree.co.uk.
Upon completion of a form, this confirmation email is sent to the person who submitted it. The email contains a 'log in here' link which takes them to the applications dashboard.
Clicking through the log in here link will show this page, a summary of the form submission.
Confirming answers in the 'Form Approved' email
You can also confirm submitted details back to people, using the email templates on each Form Type.
To set this up, go to Applications Types > Edit on the form type.
Select the 'Send email on approved' option.
This will reveal a new email template. This email will be sent when a received form gets Approved.
On this new template, select Placeholders.
This will open up a number of options for pieces of information which can be fed into the email template.
When you add a placeholder, for example if you add {ARTIST NAME} then when the email is received, the brackets will be replaced with whatever was entered as an answer to that question.
Here is an example of how this could be set up:
This is what the email looks like when received:
As you can see, the placeholders have populated with answers added onto the form.
You will also note that for uploaded added to the form, these can be reviewed via the links that those placeholders generate - super helpful!
Advanced option - adding notes and sending these within the "Form Approved" confirmation email
Placeholders are brilliant because they customise the information that can be sent to your event teams, at scale. This saves you time and hassle, and means that your crew and artists have all the information they need to attend the event.
But, what if I want to sent some extra information as part of these communications?
Information that the person completing the form has not added themself?
Well, here's a solution.
For example, you want to ask a performing artist which hotel they would prefer to stay in.
Once they have selected this and completed the form, you can then add in extra information which is hidden to them until they see the email you have designed upon confirming their details.
This would look like this - to add a secret field, simply add a field and then select Hidden From Applicant.
This means that field is not visible when they complete the form.
However, once submitted, if you edit the form you can add extra notes.
Go to Applications - received, find the received form and select Edit application.
Find your hidden notes field, and add any notes you wish.
These notes could remain hidden, only viewable by event admins, however if you wish to confirm this information back to the person who completed the form, simply add a placeholder for this hidden field into the email template.
This is how it would appear to the recipient:
